Commercial Operations Manager
Job description
To act as the central link between Operations, Finance, HR, and external specialists, ensuring the freight business operates efficiently, compliantly, and profitably. The role oversees key commercial processes, supports frontline HR activity, champions the freight management system, and provides business analysis to support decision‑making.
Key Responsibilities
1. Finance, Commercial & Compliance
- Oversee the billing function, ensuring accurate and timely invoicing.
- Manage POD (Proof of Delivery) processes and ensure compliance with customer requirements.
- Supervise the sales ledger and debt control function, including reporting on debtor days, slow payers, and bad debts.
- Support insurance renewals, including data gathering and claims trend analysis.
- Maintain and update terms of carriage and ensure compliance across the business.
- Oversee claims management for lost or damaged goods, including root‑cause analysis.
- Conduct pricing and rate reviews in collaboration with finance and operations.
- Administer surcharges (fuel, marine, seasonal, etc.) and ensure correct application.
- Monitor and report on trailer profitability, including lane analysis and cost allocation.
- Track and report on claims incidence, trends, and financial impact.
2. Systems & Process Ownership
- Act as the expert user / system champion for the freight platform (e.g., MultiFreight).
- Identify system development needs and liaise with the software provider and finance team, including driving delivery of the MultiFreight implementation/project already underway.
- Ensure data integrity, process consistency, and user compliance across the system.
- Implement and maintain front‑end customer paperwork capture processes using Laserfiche, ensuring documents are complete, accurate, and stored in line with agreed workflows.
- Lead small system‑improvement projects and support user training.
3. HR Support & People Management
- Provide frontline HR support to drivers, warehouse operatives, and back‑office staff.
- Act as a line manager and take responsibility for the management of the team (performance, development, prioritisation, and ways of working) for selected operational and admin teams.
- Support recruitment, onboarding, absence management, and basic ER processes.
- Lead ad hoc HR projects, such as contract of employment compliance reviews.
- Monitor and report on staff turnover, retention, and workforce trends.
4. Operational Support & Customer Onboarding
- Provide hands‑on operational support to the wider logistics business, troubleshooting day‑to‑day issues and removing blockers.
- Own and continuously improve customer onboarding, including set‑up in relevant systems, documentation, and handover into operations and finance.
- Coordinate and track weekly sales implementation, ensuring new business wins, rate changes, and customer requirements are implemented accurately and on time.
5. Compliance
- Serve as the central point of contact for Health & Safety, insurance brokers, auditors, and other external specialists.
- Coordinate internal responses to compliance audits and external reviews.
- Support senior management with business analysis, reporting, and project work.
Other Requirements & Remote Working Arrangements
- Must be contactable during working hours and respond appropriately to operational priorities.
- Attend weekly meetings with the Managing Director and support team to review performance, priorities, and actions.
- Travel may be required to the UK and Isle of Man as business needs dictate.
Skills & Experience Required
- Experience in freight, logistics, or transport (essential).
- Strong understanding of billing, claims, and commercial processes.
- Confident with freight management systems (MultiFreight or similar).
- Experience in HR support or people management.
- Strong analytical skills with ability to interpret financial and operational data.
- Excellent communication skills and ability to work cross‑functionally.
- High attention to detail and strong organisational skills.
